Data Synchronization
1. Upload Inventory (CSV)
Select `R_D_InStock.csv` to update warehouse stock and bundles.
2. Upload Export Products (Excel)
Select export sheet to update product details.
3. Upload InventorySearch (Excel)
Select `InventorySearch.xls` to sync metadata and verify stock.
4. Prices (Excel)
Downloads every product you can price at this warehouse, with the prices set today and 0 where none. Edit it and upload it back.
Tiers are F1, F2, F3 (fabricators) and P2–P5. Prices are per warehouse: a product with no price at the selected warehouse shows “Price Hidden” and cannot be ordered there. A 0 in the sheet means no price and clears that tier; an empty cell means “don’t touch it”. Products absent from the sheet are never changed.
5. Sync Images (Google Drive)
Fetch and fuzzy match slab photos from Google Drive folder.
6. Sync Metadata & Descriptions (Gemini)
Analyze slab photos with AI to extract colors and write descriptions.
7. Build Visual Profiles (Gemini)
Describe every product photo (colour, veining, movement, contrast) so the assistant can find visually similar stones. Only re-analyzes products whose photo changed.

Broken Stones
Approved users in the checked price levels see the flat AS-IS price on the public Broken Stones page. Everyone else sees "Price on request".
Warehouse notices
Show a notice banner to visitors on the sign-in page (e.g. holiday, day-off, closed). Enable it, optionally mark the warehouse as closed today, and write a short message.
Feedback / bug reports
When enabled, every new problem report submitted through the site's "Report a problem" widget is emailed to the recipient below (with the screenshot attached, when one is provided). Reports are always saved to the Feedback tab regardless of this setting.
How hard the phone must be shaken to pop the "Report a problem?" prompt.
Email notifications
Who gets emailed when something happens on the site. Manager alerts go to the warehouse lists below and are independent of what customers choose.
Comma-separated email addresses, up to 10 per list. Orders from a warehouse alert its list; anything unassigned falls back to "Other".
One switch per email type. Customers can also opt out of their own types in their profile — if either side is off, the email is not sent. Turning a type off here overrides every customer who turned it on.
Live chat handoff
When the AI assistant hands a visitor over to a human, the conversation appears in the Live Chats tab. Enable email alerts so managers hear about new handoffs without watching the tab.

Stock alerts & reminders
Automated customer emails about inventory: back-in-stock notifications, abandoned-checkout reminders, and the manual "promote to interested clients" push below.

Checkout hold
How many days an unconfirmed checkout keeps its slabs reserved. After that the pending order expires and the slabs return to the catalog automatically.

Promote to interested clients
Email everyone who favorited, listed or subscribed to a stone — a warm-audience nudge for slabs that have been sitting. Each client gets at most one email per stone per day. Requires "promote" pushes to be enabled in Stock alerts above.
Waiver — state-specific additional terms
Optional extra clauses appended to the visitor waiver's "State-Specific Provisions" section on the /visit sign-in page. The built-in Maryland/Florida legal text always shows; anything you add here is shown as an "Additional Terms" paragraph below it. Leave blank for none.
Scanner AI Default
Model, output format and system instruction used by the slab photo retoucher (Gemini). Editing here replaces the built-in defaults.
AI Prompts & Parameters
Exactly what we tell the AI at every step that involves a photo — extra slab shots, the catalog retoucher, label reading, colours and descriptions, visual passports, and the assistant’s “something similar” answers. Read straight from the running code, so it can never drift from what is actually sent. Read-only, except the retoucher, which is edited on the Scanner AI card.

Delivery fees (other warehouse)
Every customer has a home warehouse, decided by the state map below (or set by hand on their user record). Buying from their home warehouse costs nothing extra and keeps the normal delivery calendar. Buying from the other warehouse makes the customer choose Express (flat fee for the whole order) or Standard (fee per slab, no dates shown). A customer whose state is not mapped has no home warehouse: they are never charged a fee and a manager sorts the account out by hand.

The template arrives pre-filled with the map above — change the Warehouse column and upload it back. Leave a state empty for "we don't serve it": those customers get no home warehouse and no fee. An upload replaces the whole map; per-customer overrides set on a user record are not touched.
